Shipping & Documents

For buyers · Deal page — timeline & documents · Last updated: March 2026

Sign-in required
After payment is confirmed on JAPACAR, you usually do not pay again unless a new request appears. You mainly watch the deal page: the status badge at the top, the three-step Progress bar (Reservation → Payment confirmed → B/L issued), the short explanation under it, and the Next Action / Documents cards. When the platform shows B/L (Bill of Lading) milestones or downloadable PDFs (e.g. commercial invoice), use them with your customs broker. Documents here means shipping-related paperwork on the deal page—not your personal ID unless another screen asks for it.

The three screenshots below are taken from the same buyer flow in order: (1) right after all payments are confirmed—monitoring preparation; (2) while the shipment / B/L phase is shown on your deal; (3) after the deal is marked complete on your side. They are not recycled from unrelated steps.

Key terms

TermMeaning for buyers
B/L (Bill of Lading) Key shipping document for sea freight. Your deal page may show a B/L Issued style step when this milestone is recorded. Follow any email or on-screen notice for originals or copies.
Commercial invoice (PDF) When available, the deal page may offer a downloadable PDF. Use it together with B/L and local broker instructions for customs.
Timeline / progress Shows where the shipment is in the overall flow. Some steps are informational (wait); others need a button from you—only act when your screen shows an action.

Status phases and buyer action

Typical phase How to read it What you usually do
Preparing documents / shipping Seller, forwarder, or admin are arranging shipment and paperwork. Monitor the deal page and email; no payment action unless a new request appears.
B/L milestone B/L-related progress is recorded; you may get email notice. Read the message on the deal page; keep records for your customs agent.
Shipping / arrival Vehicle or documents are in transit depending on stage. Track status; coordinate with your local logistics or broker using documents you received.
Completed Platform-side deal flow is finished. Keep final documents; complete any local registration or import steps outside JAPACAR as required by your country.

Step 1: Read timeline and status

Open your deal from Deals. After payment is confirmed , the page shows a status badge (e.g. fully paid / preparing) and the Progress row: Reservation, Payment confirmed, and B/L Issued. Read the paragraph under Progress—it tells you whether you need to do something or only wait.

If you still see a payment or bank-upload action, finish that first; the “shipping watch” phase starts after payments are fully confirmed on the platform.

Captured when payment is confirmed: status badge, Progress steps, and the help text below (monitoring / preparation phase).

Step 2: B/L and document panel

When the deal moves into shipping, the status badge and Progress text update (e.g. shipping in progress). Find the B/L Issued step in the progress row when it is highlighted or completed, and use the Documents / Next Action area for downloads (e.g. commercial invoice PDF) if shown.

Email from JAPACAR may repeat or supplement the deal page. If wording differs, follow the deal page and the latest email for your case.

Deal page during shipping — B/L progress and documents
Captured while the deal is in the shipping phase after B/L is recorded in the system: Progress includes the B/L step; Documents / Next Action show what you can download or read (not the same screen as Step 1).

Step 3: Completion

After you confirm Receive when the vehicle arrives (if the deal page asks for it), the status moves to complete on JAPACAR. Keep final PDFs and reference numbers for your broker or authorities. Import duties, registration, and port pickup follow your country’s rules—use a licensed agent where required.

Deal page when status is complete
Captured after the buyer completes the receive step: status shows deal complete and Progress steps are finished (not the same as Step 1 or 2).
